Quality Development and Academic Accreditation Unit

Scope

Its primary role is to develop, implement, and monitor quality assurance, policies and procedures to enhance the academic standards and prepare the College for national and international academic accreditation by meeting standards and requirements. Quality Management and Academic Accreditation unit has following three divisions:

Divisions and Responsibilities

Quality Management and Academic Accreditation Division

  • Disseminate concepts and principles of the comprehensive quality management and improvement program (QMIP) and promoting it among all faculty, students and staffs of the College. 
  • Assist Dean creating an environment of trust, encouragement and a sense of belonging to the College and the importance of the role assigned to faculty and staff in implementing the comprehensive QMIP. 
  • To achieve desired results, educate and train all faculty, students and staffs with the methods and tools of the (QMIP), standards and requirements of accreditation standards of ETEC-NCAAA (National Commission for Academic Accreditation) and international accreditation bodies for proper implementation. 
  • Recommend formation of adhoc committees for QMIP and accreditation preparation and include members of the departments directly concerned.
  • Supervise the adhoc committees, follow up on their achievements and evaluate them, coordinate between the various committees, departments and divisions in the institution to overcome the difficulties encountered by them. 
  • Apply to concerned body for accreditation and prepare College for the whole process. 
  • Plan and conduct self-study and prepare reports for analysis and actions. 
  • ldentify weaknesses and prepare corrective action plans, working through different committees.  
  • Maintain post-accreditation documentation.

Strategic Planning Division

  • Foster the culture of strategic thinking through synchronized follow up of strategic indicators. 
  • Prepare strategic plan for the College 
  • Conduct brain storming and focus group sessions involving all internal and external stakeholders 
  • Prepare draft strategic plan and share with main stakeholders seeking their feedback and approval for respective goals, objectives and performance indicators 
  • Finalize strategic plan and present to College Board for approval 
  • lmplement strategic plan monitoring tool, take progress reports from goal owners to prepare final progress report of the strategic plan. 
  • Prepare annual progress report of strategic plan and present to College Board with analysis and recommendations

Policy and Procedure Division

  • Develop COD Policy and Procedure Manual, consisting of policies and procedures for operational activities of Dean's office and vice deanships in line with the national and University requirements. 
  • Disseminate policies and procedures at all levels after approval by the Dean and concerned process owners. 
  • Coordinate with all departments for maintaining, revision and updating of policies and procedures. 
  • Review and revise policies and procedures every three years or as need arises for revision

Continuing Education and Development Unit

Scope

The scope of this unit is to support the faculty development and continuing professional education needs of all faculty members, students, alumni, staff, practicing dentists and allied sciences in the region in accordance with the rules and regulation of the College of Dentistry. 

  • Promote advancement in the field of dentistry at the local and national level. 
  • Keep the faculty members, students, alumni and staff updated and involved. 
  • lmprove the faculty engagement with the dental community within the region. 
  • Serve as a channel to convey the emerging knowledge and practices from the expertise within the College and dental community in the region. 
  • Become a leading center of Continuous Education in the region. 
  • Seed the culture of lifelong learning and scientific curiosity in COD students.

Responsibilities:

    • Manage and organize CME activities. 
    • Assist in specialized CE&D organized training and workshops and seminars in collaboration with relevant sponsors. 
    • Arrange and conduct faculty members academic development courses and seminars in collaboration with the Deanship of Academic Development. 
    • Arrange and conduct General Orientation Program (GOP) to newly joining faculty members and staff. Students who will start their clinical courses must take the GOP as well. 
    • Arrange, conduct and provide certification of Dental Hospital required courses such as Basic Life Support (BLS) and Occupational Health & Safety (OSHA) courses.

            Community Service and Partnership Unit

            Scope

            The community service and partnership unit (CSPU) is established to provide highest standard of curative and preventive services to improve dental and oral health of the society. The unit engages students and faculty with the community through curricular and extra-curricular projects, providing health education and screening sessions. 

            Responsibilities

            • To plan extracurricular & curricular community service activities including campaigns to increase awareness about oral health issues, screening for oral diseases, prevention and treatment. 
            • To plan and expand sustainable oral health promotion programs for disadvantaged populations and minorities. 
            • To establish and expand partnerships with local schools, public and private hospitals, charity organizations and local prisons. 
            • To promote the oral health of people with disabilities and special needs through the provision of specialized onsite dental care and outreach promotion programs. 
            • To support and provide opportunities for the faculty members, students and interns to initiate community-based/oriented research. 
            • To evaluate on regular basis the college sustainable programs using different indicators

            Documentation and Records Unit

            Scope

            The unit is for the collection and archiving of data and documents in both paper and electronic forms and facilitates retrieval according to regulations. 

            • Establish operational policy for documentation and archiving 
            • Encourage electronic archiving

            Responsibilities 

            • Establishment of a center to collect and archive all the documents, data, and memoranda. 
            • Development of a digital database for faculty and staff CVs. 
            • Facilitate access to the documents and CVs if requested by any entity within or outside the college. 
            • Communication and responding to IAU Brand Management Unit 
            • Providing the appropriate content for the College of Dentistry's website and update it. 
            • Submit an annual report to the Vice Dean for Development and Community Partnership on the performance and role of the unit and the achievements and difficulties.

            Measurement and Evaluation Unit

            Scope

            The scope of this unit is to provide data to support decision making at COD. lt covers stakeholders' relevant data for program review and accreditation processes. The unit provides data that contribute for College's handbook, strategic plan and Key Performance lndicators (KPls) Manual. The unit manages regular surveys as well as IAU online surveys (ESTIBANA). Data are collected, analyzed and reports with executive summaries are generated and submitted to relevant owners/stakeholders for actions

            Responsibilities

            • Perform as an information resource unit for data of surveys, reports and other information provided to the unit. 
            • Plan, schedule and conduct evaluation surveys according to VD's plan to get feedback from faculty members, students, alumni and employers of the College graduates and other stake holders 
            • Collecting and analyzing direct/ primary data; It deals with COD stakeholders' numeric details and achievement data and based on these data, the key performance indicators and benchmarks are developed. 
            • Collect and analyze stakeholder's survey data; It deals with stakeholder's feedback and satisfaction data collected through the quality surveys. 
            • The Biostatistician in the unit will coordinate with the biostatisticians VDAA, VDCA and VDPG&SR who are responsible to provide concerned data of respective vice deanships.

            Alumni and Career Development Unit

            Scope

            The Alumni and Career Development Unit of the College has been committed to following up on its previous graduates and assisting its upcoming graduates through holding various programs and services that aim at preparing them for the labor market. Also, the college consistently works on expanding communication between its graduates to exchange practical and educational life experiences.

            Responsibilities:

            • Establish database for graduates and alumni 
            • Survey and analyze alumni satisfaction and discuss results with concerned departments 
            • Keep constant communication with graduates and alumni 
            • Encourage alumni to participate in college activities whenever possible 
            • Organize events to illustrate the college achievements and current activities to alumni 
            • Encourage alumni to support for college, financially and publicly 
            • Conduct career development workshop

            Professionalism and Leadership Unit

            Scope 

            The scope of this unit at COD-IAU is to introduce and promote professionalism and leadership attributes to the students, faculty and staff at COD to support the quality of education, research, clinical care and efficiency at workplace. Additionally, the unit aims to produce young professionals and leaders in the field of dentistry.  

            Responsibilities

            • Ensure the awareness of students, faculty and staff members of the vision, mission and values of COD-IAU
            • Ensuring that the learning experience and quality of the program offered are aligned with the concept of Professionalism.
            • Creating processes to monitor and offer feedback on ethical performance in all sectors.
            • Develop and implement policies addressing consequences of assessing professional attributes.
            • Providing students, faculty and staff access to recent, high quality, evidence-based clinical resources ensuring enhanced dental professionalism by increasing the equity and quality in patient care. 

            Risk Management Unit

            Scope

            The scope of the Risk Management Unit encompasses , students, teaching staf,،supporting staff, patients and visitors. The plan addresses safety in every department and unit throughout the facility. The Unit identifies risk and adverse events through Occurrence Variance reporting, patient complaints, observations and other data sources.

            Responsibilities

            • Compliance with applicable governmental regulations and healthcare accreditation standards. 
            • Adherence to college risk management plan and process. 
            • incident identification reporting, and data management. 
            • Ensuring the initial and ongoing awareness of staff  about risk management
            • Review and documentation of sentinel events using a root cause analysis or other recognized methods. 
            • Developing risk management recommendations for employees' intervention. 
            • Ensure adherence with national and international infection control guidelines.
            • Provide and track infection control preventive measures and personal safety.

            Excellence Award Committee

            Scope

            The committee is established to support COD's philosophy towards collegiality and encouragement of improving performance and conduct among faculty members, students and staff. The committee will supervise and update selection of awards categories, their criteria, application, and nomination processed. The awards are celebrated at the end of the year annual college ceremony or during the Annual Dental Symposium. The committee will ensure the transparency and fairness, according to regulations approved by the College Board, during the implementation and evaluation events. 

            The awards include celebrating outstanding faulty members, students, and technical and administrative staff. ln addition to excellence in their areas, the candidates are anonymously by peers and evaluation panel based on their commitment to COD's fulfillment of its aspired reputation, goals and set targets.

            Responsibilities

            • Maintain, evaluate, and upgrade the Awards Guidelines and Regulations. 
            • Announce the processes for excellence awards.
            • Receive candidates' nominations and advance eligible candidates for the following award process. 
            • Evaluate and nominate awardees according to regulations. 
            • Submit nominations to the Dean through Vice Dean for Development and Community Partnership
